Using Zoom with Health Champions CRM
Health Champions CRM is used by our team members to manage clients and book calls with them. Connecting Zoom lets the CRM create the Zoom meeting for a call you book, under your own Zoom account, so the join link is ready on the appointment.
Adding the app
- Sign in to the CRM and open Settings, then Connections.
- On the Zoom card, click Connect with Zoom. Zoom's sign-in opens in a new tab.
- Sign in to the Zoom account you want to use (personal or business) and click Allow.
- Back in the CRM, Zoom shows as Connected with your Zoom email.
- Optional: under the cards, set Default meeting app to Zoom so new calls use it without asking.
Using the app
- When you book a call or meeting with a client and choose Zoom under “Where is it?” (or Zoom is your default), the CRM creates a scheduled Zoom meeting under your account and saves the join link on the appointment.
- The link appears on the client's record as Next meeting link, under the next action.
- Changes you make in Zoom come back into the CRM: move the meeting in Zoom and the appointment follows; restore a deleted meeting from Zoom's Recently Deleted and the appointment comes back; delete the meeting in Zoom and the appointment stays booked with its link removed, so you can make a new one.
- If you reschedule the call in the CRM, the Zoom meeting moves to the new time. If you delete the appointment, the Zoom meeting is deleted too (you can Undo straight away). Only meetings the CRM created are ever changed.
What Zoom data the app uses
- Create, read, update and delete meetings: only the meetings for calls you book in the CRM (read, to notice changes you make to them in Zoom).
- Your Zoom user profile (name, email and user id): to show which Zoom account is connected.
We don't read your other meetings, recordings, chats or contacts. Access tokens are stored on our servers and used only for the above. See our privacy policy.
Removing the app
- In the CRM: Settings, Connections, then Disconnect on the Zoom card. Your stored Zoom tokens are deleted straight away.
- In Zoom: sign in to the Zoom App Marketplace, open Manage, then Added Apps, and click Remove next to Health Champions CRM. Zoom notifies us and we delete your stored Zoom tokens and connection automatically.
- Meetings already created stay in your Zoom account; delete them in Zoom if you no longer need them.
